Refund & Cancellation Policy

This Refund & Cancellation Policy explains how fees, advance payments, cancellations, and refunds are handled for professional services provided by Bestax Chartered Accountants “Bestax,” “we,” “our,” or “us”.

It applies to clients who engage us for accounting, tax, audit, compliance, business setup, advisory, and related services.

This Policy should be read together with the engagement letter or service agreement applicable to your specific engagement. Where there is any conflict, the terms of your signed engagement letter prevail.

1. Engagement and Fees

The scope of work, fees, and payment terms for each engagement are set out in a quotation, proposal, or engagement letter agreed with you before work begins.

Fees may be charged as a fixed package, on a milestone basis, on a retainer, or on a time-spent basis, as specified in your engagement.

Unless otherwise agreed in writing, fees are payable in advance or in accordance with the payment schedule stated in your engagement.

2. Government, Regulatory, and Third-Party Fees

Many of our services, in particular business setup, licensing, visa, and registration services, involve fees paid to government authorities, free zones, regulators, or other third parties on your behalf.

Such government, regulatory, and third-party fees are non-refundable once they have been paid to or incurred with the relevant authority or third party, even if your application is delayed, rejected, or withdrawn.

These amounts are outside our control and are not retained by us.

3. Advance Payments and Deposits

Where an advance payment, deposit, or retainer is collected, it is applied towards the fees for your engagement.

Deposits may be non-refundable to the extent that work has commenced or that we have incurred costs or committed resources on your behalf, as described in your engagement letter.

4. Cancellation by the Client

If you wish to cancel an engagement, please notify us in writing at info@bestaxca.com. The amount refundable, if any, will depend on the stage of the work at the time of cancellation:

  • Before any work has commenced: professional fees paid may be refundable, less any non-refundable government or third-party fees already paid or incurred and any administrative charges.
  • After work has commenced: we will be entitled to retain fees proportionate to the work performed and costs incurred up to the date of cancellation. Any remaining balance, if applicable, will be refunded.
  • Completed services: fees for services that have been completed and/or filed are non-refundable.

5. Cancellation by Bestax

We may decline to begin, or may suspend or terminate, an engagement where required information or documentation is not provided, due-diligence or compliance requirements cannot be met, fees remain unpaid, or continuing would be unlawful or unprofessional.

In such cases, we will be entitled to charge for work performed and costs incurred up to the date of termination.

6. Requesting a Refund

To request a refund, please contact us in writing at info@bestaxca.com with your engagement details and the reason for your request.

We will review eligible refund requests and respond within 7–14 business days.

Approved refunds will be processed using the original payment method where possible, within 7–14 business days of approval.

Any bank charges, payment-gateway fees, or currency-conversion differences may be deducted from the refunded amount.

7. Non-Refundable Circumstances

Refunds will generally not be available where:

  • The service has been completed or filed.
  • Non-refundable government or third-party fees have been paid or incurred.
  • The delay or issue is caused by inaccurate, incomplete, or late information provided by the client.
  • The client fails to meet compliance or due-diligence requirements.

8. Consultation Appointments

Initial consultations offered free of charge carry no fee and may be rescheduled or cancelled at any time.

Where a paid consultation or appointment has been booked, please provide at least 24 hours’ notice to reschedule or cancel. Missed appointments or late cancellations may not be refundable.

9. Chargebacks

If you have a concern about a payment, please contact us first so we can resolve it directly.

Initiating a chargeback without first contacting us may delay resolution.

10. Changes to This Policy

We may update this Policy from time to time. Any changes will be posted on this page with a revised “Last Updated” date and will apply to engagements entered into after the change.
